These terms and conditions apply to: groups of young people working with our staff of youth workers.   Some of them (indicated *) also apply to groups of young people coming here who are not working with our staff of youthworkers in addition to the conference group terms and conditions.  These terms and conditions  apply to bookings for work at other centres than our own except where clearly irrelevant.

PROVISIONAL BOOKINGS

Provisional bookings will be accepted by telephone, letter, e-mail or fax and will be held for fourteen days. 

CONFIRMED BOOKINGS

Your booking is confirmed when Southwell House Youth Project has received the completed booking form duly signed.   If you do not receive a booking confirmation form to sign within about two weeks of making your booking please let us know to make sure it has been correctly entered into our system.

CANCELLATIONS - full or partial

in the event of a full group cancellation a charge will be made according to the following table:

within 6 weeks of start date 25% of full costs
within 4 weeks of start date 50% of full costs
within 2 weeks of start date 100% of full costs

where the full costs are calculated by multiplying the number of people originally booked by the advertised or agreed per capita cost of the accommodation or work contracted for.

If the confirmed numbers who come are more than 25% lower than the original bookings, then the cancellation charges shown above will apply to the shortfall.

We do understand the difficulties that group leaders face in trying to be accurate about numbers.  We will not enforce a cancellation fee on a voluntary organisation if they have kept us informed of changes of numbers.

CHARGING OF PARTICIPANTS

Please note that it is a condition that applies to every programme where our staff are working with a group that the young people may never be charged more than the charge we make.  Where the young people are required to pay travel or other extra charges then it must be made clear to them that these are not charged by Southwell House.  We would regard any attempt to make a profit (even if that profit is used for similar or other worthwhile purposes) at the expense of the body that subsidises all our youth work as a fraudulent misuse of the funds they give us.

SUPERVISION

Group leaders are responsible for ensuring a high standard or conduct within their groups.   Groups are responsible for the cost of repairs necessitated by any wilful damage they cause to our property or equipment.  Group leaders are also responsible for drawing to the attention of their parties the terms and conditions set out herein.

POLICIES

All users of Southwell House Youth Project will be bound by all policies in effect here including discipline, equal opportunities, health and safety, use of alcohol, smoking.   Continued breach of any policy is brought to a conclusion by the individual(s) being asked to leave the project. Groups bringing young people are asked to note the special conditions concerning child protection and the use of alcohol by staff.

SMOKING

Smoking is only permitted in the designated areas of the house.   Where more than one group is present in the building, then these areas may be reduced or withdrawn entirely at the request of the staff of any group.  Young people are not normally permitted to smoke here, but in certain circumstances with the approval or their staff special arrangements may be made.

ALCOHOL

Alcohol must not be brought into the project without permission.    Staff on duty (both our own and staff coming with groups of young people) must not consume any alcohol with 8 hours of coming on duty, and must additionally at all times observe the same blood alcohol level as applies to driving a vehicle.  Please see the alcohol policy for full details.

ILLEGAL SUBSTANCES

It is not permitted for any member of any group to bring onto our premises any illegal substances, or any substances which are intended to be used for illegal purposes.

PARKING

The parking of motor vehicles within the grounds of Southwell House is subject to the availability of space and is entirely at the risk of the owner of the motor vehicle.   Southwell House Youth Project makes no provision for the security of the vehicle while it is on project property and offers no guarantee of parking space.

WAIVER

Southwell House Youth Project accepts no liability for accident, loss, or consequent damage arising from the behaviour of any third party including other users of the Project.  Southwell House Youth Project accepts no liability for loss of personal property due to theft.   Safe facilities are available for items of high value.

CANCELLATION BY SOUTHWELL HOUSE YOUTH PROJECT

Southwell House Youth Project reserves the right to cancel any booking without notice and to return such deposits as may have been paid without further compensation.
